CommitteesPro is a cloud-based committee management system which has been designed from the ground up to manage the day to day activities involved in a busy democratic services team. From report writing, to Councillor profile management and the publication of agendas and plans, we’ve got you covered.

The pandemic led to people working in very different ways with Council’s adopting a more hybrid approach and staff having increased opportunities for remote working. This bought with it a change in the typical working habits of officers with a higher usage of systems such as Teams and Sharepoint.

Report writing, review and sign-off

With remote working in mind we took the decision to build our report writing system to integrate with Sharepoint and Teams (as well as active directory and Azure single sign-on). The outcome is that your report writers have a completely unique experience and can collaborate on reports like never before.

Administrators can quickly build workflows and add their own custom fields in a single click. Review steps can be amended using drag-and-drop functionality to allow for the creation of a review and sign-off procedure which meets your needs. You can set deadlines which are automatically recalculated should a report be moved to a different meeting.

Report writers never have to worry about a report being locked by another user as we have taken advantage of the collaborative working features of Sharepoint and Office 365. Multiple report reviewers / editors can access the report at the same time and share comments and notes as well as viewing each other’s tracked changes.

But that’s not all. We know how much Teams has become part of your working day so we made the decision to embrace that and push notifications through Teams. If you have a report to review, then you’ll get a notification in Teams with a link to the report (you’ll have the option to also have an email and SMS as well). More importantly, if there are multiple reviewers in a team and only one person needs to review the report, you’ll have the option to discuss this in the Teams notification chat to ensure that you can avoid any duplication and ensure that the workload is evenly shared.

Committee Management

CommitteesPro provides Democratic Services teams with a modern, cloud-based platform for managing the complete committee lifecycle. Built specifically around the requirements of UK local government, it brings together meeting management, agenda and minutes production, decisions, forward planning, member information and public access within a single solution.

Democratic Services teams can create and manage committees, meetings, agendas, minutes and decisions, with structured workflows helping officers move information through each stage of the democratic process. Agenda packs and other committee documents can be generated directly from the system, while integrated publishing tools make it straightforward to publish meeting information, reports, minutes and decisions to modern, accessible council webpages.

CommitteesPro also supports the wider governance responsibilities of Democratic Services. Forward Plans and work programmes can be maintained and published, while comprehensive Councillor profiles bring together information including committee and outside body appointments, attendance and registers of interests. Our Web Library provides a dedicated area for publishing important governance documents such as constitutions, policies and procedural information independently of individual meetings.

We have also built electronic voting into CommitteesPro, alongside functionality for managing attendance, apologies and declarations of interest. Information captured through the meeting process can be reused across the system, reducing duplication and helping Democratic Services teams maintain a clear and consistent record of council decision-making.

Committee Management also works alongside our integrated Report Management functionality, supporting the journey from the initial drafting and approval of a committee report through to its inclusion on an agenda and eventual publication. Integration with Microsoft 365, SharePoint and Entra ID allows councils to retain familiar ways of working while benefiting from the structure and governance provided by CommitteesPro.

For councillors, AgendaPro, our paperless meetings application, provides secure access to agendas, reports and supporting documents across tablets, phones and computers. Members can access their meeting papers electronically, including offline access and document annotation, helping councils reduce their reliance on printed committee packs.

CommitteesPro is no longer just the building blocks for a future committee management system. The core platform is here, and we are now working with early adopters to refine and expand it around the needs of modern Democratic Services teams.
